Book online. Bring it in. Collect it.
Paying online reserves your cleaning service. Here is exactly what happens next — and what is made clear before you pay.
- Inspected and checked in with you
- Treatment starts only once accepted
- Up to 14-day turnaround from acceptance
Five clear steps
Every item is seen, checked in and agreed with you before any treatment begins. Please do not post or courier items to us.
-
1
Choose a service
Pick the cleaning, sanitising or reproofing treatment that matches your item. Use Find My Service if you are unsure.
-
2
Give us the details
Item type, the main problem, colour, brand, known stains and any existing damage — captured when you book.
-
3
Book and pay
Payment reserves your cleaning service. It is a booking, not a purchase of a physical product.
-
4
Bring it in and check in
Bring the item to us in Louth with your order number. We count it, record its condition with you, check pockets and explain any specific risks.

What happens on arrival
Bring your order number. We check the item in with you, record its condition, and treatment begins once it has been assessed and accepted. Please do not post or courier items to us.
We contact you when your item is ready. Items are collected in person by you or by someone you have authorised in writing.
What to bring
- Your order number or booking confirmation
- The item or items listed on the booking
- Any care labels or manufacturer instructions you still have
- Details of known stains, damage or previous repairs
How to prepare your items
- Empty every pocket and remove valuables, keys and electronics
- Remove detachable accessories you do not want treated, such as fur trims or liners
- Do not attempt to pre-treat stains with household chemicals
- Tell us about previous repairs, re-waterproofing or home washing
- For team kit, bag it by squad or age group and label the bag
What happens at check-in
- We confirm the item matches your booking and count the pieces.
- We record the condition we can see, including existing marks, damage and previous repairs.
- We check pockets and hand back anything left inside.
- We review care labels and material information with you.
- We confirm the treatment you have booked is the right one.
- We explain any risks specific to your item, and you confirm you are happy to proceed.
- Once the item is accepted, it goes into the process and the turnaround clock starts.
If we cannot accept an item
We may decline an item that is unsuitable or unsafe to process — for example where contamination, structural failure or material breakdown means treatment would risk damage. We will explain why at check-in, suggest an alternative where there is one, and refund the booking for any item we decline before treatment begins.
Who can collect
Items are released to the person who booked them, or to someone that person has authorised in writing before collection. For clubs and organisations, tell us at drop-off who is authorised to collect, and we will record it against the booking. We ask collectors to quote the order number.
Careful, methodical, material-first
We don’t batch everything through one cycle. Each item is assessed, matched to a process, treated and checked — so it comes back performing, not just looking clean.
- AssessItem checked in with you; fabric, construction, condition and suitability confirmed.
- MatchThe right treatment and settings selected for the material and issue.
- TreatCleaned, sanitised or reproofed with professional-grade products.
- RestoreDown re-lofted, DWR reactivated, finishes protected — where condition allows.
- Check & hand backInspected against the condition recorded at check-in, then ready for you to collect.
We show our process, not staged results. Every item is treated on its individual condition — we’ll always tell you if an outcome is uncertain before we begin.
Choose your service, tell us about the item and pay online. Payment reserves your cleaning service. You then bring the item to The Gear Spa in person with your order number, we check it in with you, and treatment begins once it has been assessed and accepted.
Please don't. We are not set up to receive items by post or courier and we cannot guarantee that anyone will be available to accept or sign for a delivery, so we cannot be responsible for an item while it is in the postal or courier network. If an item does reach us that way we will not turn it away: we will contact you, keep it safe, and agree with you what happens next. Every item is inspected and checked in with you in person, so that its existing condition is recorded together and any risks specific to it are explained before work starts.
It protects both of us. Cleaning can make existing wear more visible, and some items are not safe to process at all. Checking the item in together means the condition it arrived in is recorded and agreed, and you know what to expect before we begin.
Standard turnaround is up to 14 days from the date your item is checked in and accepted — not from the date you book. Priority turnaround may be available on request for eligible items, subject to capacity; email us before booking.

We will explain why at check-in and suggest an alternative if there is one. If we decline an item before treatment begins, we refund the booking for that item.
Yes, if you authorise them in writing before collection. Tell us who at drop-off, or email us, and we will record it against your booking. We ask whoever collects to quote the order number.
Yes. Because you book and pay online, you have a 14-day right to cancel the service contract under UK consumer law. Email us quoting your order number. If you asked us to start work within that period, we may charge for what has already been done, and the right to cancel ends once the service has been fully performed. Full detail is in our refund policy.
